Art Show Terms and Conditions

Please read the following terms and conditions. These rules are not negotiable and by entering the Art Show you will be deemed to have read and accepted them. The judgement of the Art Show Staff on all Art Show matters in final.

1. Allowable Content

Entries are limited to original works with a theme of Science Fiction, Fantasy or Fandom.

Reproductions of any kind are allowed, but only one copy of any particular piece may be hung. Pieces that differ only in size and/or colouring do not qualify as separate pieces for purposes of this restriction.

Entries depicting copyrighted characters shall have a note to the effect “Character X copyright by Y”.

The following are not permitted:

  • works judged to have libellous or defamatory content in regard to known persons and/or well-known characters

  • works that violate copyright or trademark protection (unless notation provided to the effect “Character X copyright by Y”)

  • Works judged to be obscene.

Noisy or annoying works will be turned off.

If there is any complaint or dispute at the show over any of these criteria, the items in question shall be withdrawn from display. Remember - we are not solicitors or lawyers, and if in doubt, we will withdraw any questionable items. Please bear in mind that the Art Show is open to all Convention attendees, including minors, and exercise appropriate discretion. The rulings of the Art Show Area Head on any of these issues will be final.

2. Acceptance of Bookings

All fees must be paid in advance as detailed in the Reservations and Payments section on the main page. You will not be assigned space, nor will space be reserved for you, unless you have (1) paid your fees and (2) confirmed acceptance of the Art Show terms and conditions. This must be done either by completing the online registration process or by posting in a completed copy of the standard paper form. Reservations will not be taken by phone or by e-mail.

Artists will be sent a confirmation and be assigned an artist number on receipt of the reservation form and fees. Bid sheets, control sheets and mail-in instructions will be sent to artists about 6 weeks prior to the Convention.

3. Exhibitor Shipping and Customs Services

We are aware that there will be some Shipping and Customs issues which will affect those of you from outside the EU. We have created a separate page with information on this area here.

4. Insurance

Artists are responsible for their own insurance. Check your homeowners’ policy: you may have appropriate coverage there. We will do our utmost in caring for your artwork, but we must require that all artwork be sufficiently sturdy to be handled with a reasonable amount of care. Items may have to be moved during the show or for the auction. This is just not the place for excessively fragile items.

5. Hanging Arrangements

Current plans are to put the Art Show panels together on Tuesday 2 August 2005. We expect to open for Artist set-up on Wednesday 3 August 2005, hopefully around mid-day. Artist set-up will then continue until 6 pm on Wednesday 3 August, and from 10 am on the morning of Thursday 4 August. We plan to open to the public at 2:00 pm Thursday. Please contact the Art Show Director if this schedule is a serious problem for you.

Two-dimensional works must be matted, mounted or framed to aid in hanging. If you don’t provide a hanging method, bulldog clips are likely to be used.

All artwork must be clearly labelled. Please make sure that your artwork has your name and address on the back or bottom of it, as well as the title of the piece.

6. Auction Conditions

British art show practice normally requires only one bid to send a piece to auction, however we shall require three (3) bids to send a piece to auction. You will also have the option of giving a piece a “For Sale After Auction” price. Pieces that do not go to auction but have a for sale after auction price may be sold at that price. Pieces without one may not be sold.

7. Irrevocable Submission

Once entered in the show, conditions for sale of artwork (amount of minimum bid, Not-for-Sale, etc.) may not be changed. No artwork may be withdrawn before 2 pm on Sunday 7 August. All artwork remaining past 6 pm on Monday 8 August 2005 (other than mail-in artwork which we will be arranging to return) will be considered abandoned.

8. Recording

There will be no photography or video recording of any items on display in the art show unless cleared in advance by both the artist and the Art Show Area Head at mutually agreed times.

9. Payments to Artists

There will be absolutely no payments to artists at the convention. Payments will be forwarded as soon as possible after the convention, but please keep in mind that we need to wait for credit card payments to clear and that can take 30 days.
